Mioro Company Policy Annual Review and Action Procedure<\/h2>

1. Purpose<\/h3>

This procedure defines the process of regular annual review and determination of necessary improvement actions to ensure the effectiveness, appropriateness and continuity of Mioro’s company policies.<\/p>

\u00a0<\/p>

2. Scope<\/h3>

This procedure covers all Mioro’s company policies (Quality, Environment, Occupational Health and safety, Ethics, AML, KYC, RJC-COP, Supply Chain., ISO 9001, 14001, 45001, etc.) and is valid for all relevant departments.<\/p>

\u00a0<\/p>

3. Responsibilities<\/h3>
  • Senior Management: Approves the review process, makes final decisions and ensures resource allocation.<\/li>
  • Quality and Compliance Department: Coordinates the review process, prepares reports and monitors the implementation of action plans.<\/li>
  • Department Managers: Evaluates the effectiveness of policies at the department level and provides recommendations.<\/li>
  • Employees: Contributes to policy improvement processes and provides feedback.<\/li><\/ul>

    4th Annual Review Process<\/h3>

    4.1. Planning<\/p>

    • The review meeting date is determined one year in advance.<\/li>
    • Relevant documentation and data (internal audit reports, customer complaints, compliance results, etc.) are prepared before the meeting.<\/li><\/ul>

      4.2. Data Collection and Analysis<\/p>

      • Data regarding policy performance (KPIs, targets, legal changes, market trends, etc.) are analyzed.<\/li>
      • Feedback received from departments is examined.<\/li><\/ul>

        4.3. Review Meeting – The policy’s compliance with the objectives, its effectiveness and its capacity to respond to needs are evaluated.<\/p>

        • Areas requiring improvement are identified and prioritized.<\/li><\/ul>

          4.4. Reporting<\/p>

          • Meeting results and actions to be taken are summarized in a report. – The report is reviewed and approved by senior management.<\/li><\/ul>

            5. Creating and Implementing an Action Plan<\/h3>

            5.1. Action Plan Preparation<\/p>

            • Specific, measurable, achievable, relevant and time-limited (SMART) goals are created for the identified improvement needs.<\/li>
            • Duties and responsibilities are clarified.<\/li><\/ul>

              5.2. Application and Monitoring<\/p>

              • The action plan is implemented by the relevant departments.<\/li>
              • The implementation process is regularly monitored and reported.<\/li><\/ul>

                5.3. Result Evaluation<\/p>

                • After the action plan is completed, the results are evaluated. – Their impact on policy is reviewed.<\/li><\/ul>

                  6. Documentation and Records<\/h3>

                  Annual review reports and action plans are kept. Documentation is archived within the framework of relevant standards and legal requirements.<\/p>

                  7. Improvement<\/h3>

                  Based on the findings from the review process, updates to policies or procedures may be made. The process continues to be developed with the principle of continuous improvement.<\/p>
