Sign-ln Procedures

Mioro has developed a comprehensive **Entry-Exit Procedure* * to ensure full compliance with company regulations and site policies. This procedure is critical for security, accountability and compliance and includes the following steps:

 

  1. Registration Form (Sign-ln Sheet):

  • * *Entry Requirement:** All subcontractors, visitors and employees must complete a registration form before entering Mioro facilities.
  • * *Form Content:**
  • Name, contact information and corporate information (company name, title, etc.).
  • Purpose of entry (e.g. visit, maintenance work, project activities).
  • Mioro’s **Field Policies and Safety Instructions** are clearly stated.
  • * *Digital and Physical Forms:** Entry-exit transactions are carried out through digital systems or physical registration forms.

 

  1. Confirmation of Compliance:

  • **Taking Commitment:** People who sign the form undertake that they have read, understood and will comply with the field policies and safety rules.
  • ** Legal Validity:** Signatures are stored to support Mioro’s legal responsibilities and to provide evidence in relevant cases.

 

  1. Access Control and Authentication:

  • * *Access Permission:**
  • Only people who complete the registration process and accept Mioro’s site policies are granted access.
  • Access to restricted areas is prevented without relevant department approvals. – **Temporary ID
  • Temporary ID cards are provided to visitors and subcontractors. These cards determine people’s access authorizations and track their movements in the field. – ID cards are delivered at the entrance and returned at the exit.

 

  1. Education and Information:

  • * *Field Introductions:**
  • All new visitors or subcontractors receive an introduction to site rules and safety procedures.
  • During these promotions, **Mioro Responsible Business Practices Policy** and RJC standards are explained.
  • **Training Documents:** Participants are provided with informational booklets, brochures and related materials.

 * *Annual Updates•** Procedures and policies are reviewed regularly and re-communicated to all parties annually.

 

  1. Storage of Records and Audit:

  • * *Data Security:**
  • Entry-exit information is stored in a digital system and can be accessed by authorized personnel.
  • Records are also physically archived and kept in the security room. – * *Audit Compliances:**
  • Records are used as proof of compliance with RJC (Responsible Jewelery Council) standards.
  • Subjected to regular audits and submitted to external auditors.
  • * *Backup:** All data is backed up daily and protected against disasters.

 

  1. Exit Procedure:

  • * *Field Out:**
  • All individuals leaving the facilities must complete the exit procedures and return their temporary ID cards.
  • Reporting any incidents or issues during check-out is encouraged.

 

Purposes of the Procedure:

  • Ensuring that all business partners and visitors comply with company policies. – Continuously document and improve compliance with RJC standards.
