Declaration of Origin Definition

A declaration of provenance refers to a documented declaration made regarding items offered for sale, such as gold, silver, PGM (Platinum Group Metals), diamonds or colored gemstones. These statements, regardless of whether the products are presented in raw materials or jewellery, may include:

  • Origin of the product,
  • Verification of the source,
  • Material traceability,
  • Certification of materials or suppliers,
  • Or other mechanisms to ensure responsible procurement practices not expressly set out in the RJC Code of Practice (COP).

Compatibility Steps

  1. Understanding Origin Statements

  • Find out what a declaration of origin is. If in doubt, consult RJC.
  • Declarations of origin can often be found in advertising, marketing materials, product invoices or sales-related documents.

  1. Conducting an Inspection

  • * *Review Scope:**
  • Review all advertising and marketing materials.
  • Check communication materials, which may include product invoices and declarations of origin.
  • * *Documentation:**
  • Clearly document the review process and your findings so they can be reviewed by auditors.
  • If you conclude that no declaration of origin has been made, document this conclusion and have it approved by senior management.
  • Add:
  • Which materials were examined.
  • Who was interviewed during the review process.

  1. Verify Applicability

– If a declaration of origin is not made, document that the provisions regarding declarations of origin do not apply to your business.

  1. Ensuring Compliance with Declarations of Origin

If a declaration of origin is made:

 * *Declaration of Commitment:**

  • Ensure that all declarations of origin are accurate and fully reflect promises made to

customers.

  • * *Supporting Systems. **
  • Establish robust systems to verify these claims. This may include monitoring mechanisms, certifications or other processes that ensure the accuracy of claims.

Monitoring and Documentation

  • Keep the following documents to demonstrate compliance:
  • Records documenting your evaluation process.
  • A list of who was interviewed and what materials were reviewed.
  • Systems that support the accuracy of statements.
  • Ensure compliance with requirements for declaration of origin through interviews with employees.

Ongoing Responsibilities

  • Regularly review provenance claims and the systems that support those claims and ensure they are up to date.
  • Communicate any updates or changes to provenance declarations policies to all relevant employees.

By adhering to these steps, Mioro ensures responsible sourcing practices, ensures transparency and complies with RJC’s origin declaration requirements.
